HIMS Document Prep & Scan Associate
To identify and prepare appropriate paper-based health information documents for inclusion in the electronic medical record through the use of scanning technology. This includes, but is not limited to, preparing, sorting, barcoding, bundling (batching) and scanning the documents into the scanning system front-end application that will send to KP HealthConnect Clinicals module. Individuals in this position will be required to meet specified strict deadlines with a high volume, high accuracy rate on a daily basis.
- Researches unidentifiable health information documents and takes appropriate action. This includes reviewing document preparation scan book to identify type of document and determine whether or not document is to be scanned.
- Returns documents without identifiable member information to initiators.
- Sorts documents for prepping.
- Preps documents for scanning by removing staples or paperclips, repairing ripped pages, and separating color from black and white documents.
- Identifies and may access and barcoding software / apply barcode to create barcoded separator pages and manifest documents.
- Manual review of each scanning batch prior scanning occurring, assures that total pages listed on batch manifest log matches total pages in batch.
- Prepares and routes scanned batch boxes to meet filing and retaining requirements.
- Manual review of scanning box manifest log prior to sending. filing box to assure that total number of batches listed on box manifest matches number of batches in box.
- Able to access and retrieve originals of scanned images/documents from as necessary, when notified of rescanning need.
- May be required to answer phones in order to meet customer service standards.
- Collects loose filing/scan documents from clinical areas and / or HIMS receiving, as required.
- Maintains specified timeliness, quality and production standards.
- Minimum six (6) months work experience in record handling in a medical setting required.
- Proficient in member identification research in common membership (IRCS).
- Demonstrable knowledge of Resolute / Hyperspace as needed for member identification research.
- High School diploma or GED required.

- Able to function in a fast-paced environment.
- Working knowledge of PCs and Windows based environment. Systems to be used will include KP HealthConnect Clinicals and scanning vendor software
- Working knowledge of medical terminology.
- Knowledge of health information management.
- Working knowledge of Windows, Lotus Notes, and Microsoft Word.
- Knowledge of Epic Inbasket.
- One-year experience in health care and/or managed care environment in health information / medical records preferred.
