Project Manager V
The Permanente Federation LLC (the Federation) is the national leadership and consulting organization for the eight Permanente Medical Groups (PMGs), which, together with the Kaiser Foundation Health Plans (KFHP) and Kaiser Foundation Hospitals (KFH), comprise Kaiser Permanente. The PMGs employ nearly 24,000 physicians, approximately 90,000 nurses, other clinicians and staff, and provide care to over 12.6 million Kaiser Permanente members. The Federation works on behalf of the PMGs to optimize care delivery and advance Permanente Medicine – medicine that is patient centered, evidence based, technology enabled, culturally responsive, team delivered, and physician led. SUMMARY:
The incumbent will lead complex healthcare initiatives focused on clinical terminology standardization, coding mapping validation, and workflow integration requiring strong leadership, project management expertise, and deep knowledge of clinical workflows, medical coding, terminology systems, and healthcare information technology and systems. Working cross-functionally with clinical, IT, modeling and coding teams, the Project Manager V will drive the fulfillment of terminology requests for procedure, surgical and diagnosis records from various Kaiser Permanente markets or required regulatory and industry changes in an effort to enhance data accuracy, compliance, and care quality. This role also leads change management efforts, including user adoption, training coordination, and stakeholder alignment.
The ideal candidate is a proactive, collaborative leader with experience managing large-scale projects, solving complex challenges, and ensuring alignment with regulatory standards such as CMS, NCQA, and HHS.
Essential Responsibilities:
• Lead end-to-end management of complex healthcare projects, including scope, timelines, deliverables, and resource planning.
• Oversee all phases of the project lifecycle to ensure alignment with organizational goals in quality, efficiency, and patient care.
• Collaborate with clinical, IT, and operational stakeholders to standardize medical terminology and coding practices.
• Implement change management strategies to support user adoption, training, and effective communication.
• Validate and maintain diagnostic and procedural codes (ICD-10-CM, CPT, HCPCS) in accordance with clinical documentation and regulatory requirements.
• Optimize coding accuracy within systems such as EPIC/KP HealthConnect, including operating room procedures (ORP) and specialty modules.
• Promote coding quality, data accuracy, and regulatory compliance across project deliverables.
• Deep understanding of the process used to model terminology concepts to industry terminology standards such as, SNOMED, LOINC, ICD, CPT, HCPCs
• Interface with a variety of business units and collaborate on request clarification, coding review, completion, and maintenance for production use.
• Defines the impact of requirements on upstream and downstream solution components.
• Monitors overall project performance (e.g., on time, on budget, within scope, and with quality) against plan, ensuring measurement of business benefits and outcomes, and adjusts as needed.
• Leads project activities related to organizational change management (e.g., development and execution of user adoption, implementation, and training plans) as defined by the project.
• Ensures all appropriate stakeholders are represented and included.
• Delivers formal presentations and provides reports to various senior audiences.
Basic Qualifications:
Experience
• Ten (10) years of experience in hands-on medical coding, terminology standardization, and regulatory compliance
Education
• Bachelor's degree from an accredited college or university and a minimum of five (5) years' experience in project management or a related field OR Ten (10) years' experience in health care project management, clinical informatics and/or health information management.
License, Certification, Registration

• Three (3) years’ experience working with collaboration software (e.g., Sharepoint, MS Teams, etc.).
• Three (3) years’ experience working with data analysis software (e.g., Minitab, QI Macros, Tableau, etc.).
• Three (3) years’ experience working with project management software.
• Four (4) years’ experience in business analysis.
• Experience in organizational change management and user adoption initiatives.
• Experience managing clinical operations or medical center initiatives.
• Active coding certification (e.g., CPC, CCS, COC).
• Project Management Professional (PMP) certification or equivalent.
• Lean/Six Sigma certification (Green Belt or higher).
