Departmental Clerk Grade 03
Essential Functions:
• Maintains high patient telephone accessibility
• Responsible and accountable for assigned change fund and revenue.
• Accurate check-in and check-out (books, cancels, reschedules, etc) using Health Connect system for classes and RD appointments
• Process Provider referrals for classes and RD appointments using e-Consult program
• Information capture, revenue collection and deposit per HED and Kaiser protocol
• Ordering products, department and class materials using multiple systems
• Maintain materials and product inventory
• Responsible for accurate description of Health Education services and programs
• Assist visitors in the Health Education Center
• Maintains effective oral and written communication with staff
• Utilize mainframe systems
• Database use and management
• Performs general office duties including but not limited to copying, typing, mail runs, posting flyers, etc.
• Promote member service and high quality, cost effective patient care by using good judgment to serve clients promptly, competently, and in a friendly manner.
• Other duties, within the scope of the role, as needed to assist in the operations of the Health Education Department
• Assist in orientation of new staff
• Consistently supports compliance and the Principles of Responsibility (KP’s code of conduct) by maintaining the privacy and confidentiality of information, protecting the assets of the organization, acting with ethics and integrity, reporting non-compliance, and adhering to applicable federal, state, and local laws and regulations, accreditation and licenser requirements (if applicable), and Kaiser Permanente policies and procedures.
Grade 03
Basic Qualifications:
• High School diploma or equivalent required.
• Two year’s experience in a medical setting required. One year in Health Education preferred.
• Professional phone etiquette and excellent phone technique
• Strong customer service skills in person and by telephone exhibited by courtesy, cooperative spirit and tact, required to communicate and interact with Kaiser Permanente members, volunteers and staff.
• Effective oral and written communication skills required.
• Familiarity with KP mainframe systems
• Ability to multi-task, organize, manage time, and prioritize work flow in a complex environment.
• Demonstrated problem solving and strong organizational skills.
• Good or excellent attendance preferred (subject to terms of applicable union contract)
• Must be able to work in a Labor Management Partnership
• Responsible, reliable and able to carry out tasks with minimal supervision required
• Must be highly motivated, service-oriented, and reliable.
• Must be able to work in a culturally diverse setting
• Demonstrates good teamwork skills
